JOB DESCRIPTION

Five Star Equipment has an exciting opportunity for a Service Writer in our Rochester, NY branch. We are looking for a self-motivated, experienced professional to join our team. The Service Writer supports the Service Manager on a daily basis. The position shall collect, analyze, input and distribute various items of information throughout the company.  Accuracy and timeliness are critical.  

Responsibility:

• Proactively assists Service Manager on all requested tasks or activities and makes him/her aware of any issues.

• Issues new purchase orders as directed and applies them to the appropriate work orders.

• Opens new work orders and closes finished work orders.

• Ensures warranty claims are opened, filed and handled in accordance to established company policy.

• Posts complete and accurate details into all work orders to include comments, headers field notes, special notes, etc.

• Ensures technician’s labor/time is posted into work orders within the system on a daily basis.

• Must understand the intricacies of the Company’s computer systems and how they relate to labor hours, invoices, parts lists, purchase orders, vendor accounts, etc

• Answers phones, coordinates Service schedules and updates Technicians and Manager on all statuses.

• Assists with updating technician laptops with software; troubleshoots technical issues and ensures resources are working.

• Reads emails, announcements, bulletins etc. from vendors, suppliers, dealers, etc regarding important news or changes that should be communicated within the company or department.

• Assists with enrolling Service Technicians in mandatory training as requested.

• Responsible for participating in and passing classroom or on-line company or John Deere training as needed.

• Other duties as assigned.

  

Experience, Education, Skills and Knowledge:

• Prior experience in parts or service is preferred (Heavy Equipment, Automotive, Forklift, etc.).

• Can perform basic math.

• Must have a solid foundation to understand inter-dependencies of Service Department, flow of information and documents.

• Knowledge of company reporting, customer accounts and financial reporting methods and operations for Service Department.

• Ability to use software applications such as CDK business system, Microsoft Office and Internet functions.

• Ability to work flexible hours as well as work in various demanding environmental conditions.

• Professional phone manners, speaking tone and customer service etiquette.

• Excellent communication and relationship skills. Can equitably solve problems whether conceptual or concrete in nature.
