Sales Administrator
Position Specifics:
Department:        Sales
Reports to:          Branch or Division Manager
Supervises:           None
Job Status:          Non- Exempt
Performs a full range of sales-related administrative duties for multi-location John Deere dealership.  Duties include inventory management and processing, accounts payable processing, equipment sales invoicing, processing of sales commissions, and related accounting entry while providing support for Branch and Division Managers.

Essential Functions:
Inventory Management/Processing:

  • Enter equipment/attachment invoices into inventory system  

  • Creating purchase orders for vendor purchases/orders

  • Place vendor orders

  • Processing of inventory change orders

  • Submitting overage/shortage reports

Accounts Payable Processing:

  • Manage vendor invoices through SharePoint

  • Enter vendor invoices into system to set up checks and enter cost to inventory

  • Process payoffs and check requests

  • Coding/Posting processes

Sales Invoicing/Processing:

  • Processing of settlements for retail note contracts and leases

  • Invoice processing of equipment sales and attachments

  • Purchasing/Processing of warranty and insurance

  • Accounting entry related to sales invoicing

Sales Commission Processing:

  • Process of sales worksheets and deals for commissions

  • Entry of data for commissions processed through Excel spreadsheets

Accounting Entry:

  • Position requires accounting entry in all aspects of processing

  • Reconciliation of accrual account

Management Support Related Duties:

  • Checking availability of inventory

  • Updating status of inventory

  • Monitoring orders

  • Processing and distribution of reports

Experience, Education, Skills and Knowledge:

  • Solid clerical expertise required 

  • Knowledge of accounting processes, accounting degree preferred

  • Proficiency in using standard computer applications such as Microsoft Office, internet functions, Deere systems and dealer business systems

  • Demonstrated leadership, organizational, management, interpersonal, analytical and communication skills

  • High school diploma or equivalent experience required
