Job Title: Accounting Administrator
Reports To: Dobbs Management Team
Department: Dobbs HDQ
Location:  Riverview, FL
Exempt: No
Summary of Primary Functions
This position is responsible for receiving and directing incoming calls and assisting with various other administrative duties. This position is considered an entry level position with the opportunity to for near-term career growth.
Essential Duties and Responsibilities: May include some or all of the following.  Other duties may be assigned.
Office Administration Responsibilities:
  • Greets and welcomes on-site visitors and clients as needed.
  • Answers and directs incoming phone calls in a timely and polite manner.
    • Relay messages to the appropriate personnel when necessary.
  • Provide general administrative and clerical support and other duties as assigned, including but not limited to:
    • Coordinating office events, arranging lunches, set up and take-down meeting rooms.
    • Coordinate travel plans for President, CFO and other personnel as requested.
    • Photocopying, faxing, scanning and filing.
  • Handle incoming and outgoing mail.
    • Receives and distributes daily incoming mail.
    • Prepares United Parcel Service labels and packaging for all departments.
    • Assists departments with mailing various documents and invoices (see details below).
  • Maintain inventory of office and cleaning supplies for Riverview locations (Admin & Parts Store).
    • Ensure supply closet is maintained orderly.
    • Ensures break-rooms have adequate supplies and is kept orderly between professional cleans.
    • Ensures bathrooms have adequate supplies and dispensers are refilled between professional cleans.
Accounting Department Responsibilities:
  • Administration of Concur expense reimbursements.
  • Administration of the P-cards.
  • Administration of Certificates of Insurance.
  • Monitor the Fixed Asset mailbox.
Credit/Collection Department Responsibilities:
  • Process daily cash receipt transactions for assigned banks timely and accurately.
  • Mail customer account statements monthly.
Sales and Inventory Department Responsibilities:
  • Mail sales and rental invoices to customers.
  • Assist with recurring rental billing when requested the invoicing team.
  • Certificate of Insurance management and data entry into Equip (approx. 1 hour, daily).
Human Resources Department Responsibilities:
  • Order business cards for new hires.
  • Special projects as assigned.
Product Support Department Responsibilities:
  • Assist with vehicle administration, including but not limited to:
    • Violations: red lights, tolls, etc.
  • Tracking vehicle to employee assignments.
  • Notifying branches of vehicle recall notices.

Education, Skill, and/or Experience Requirements:
2+ years’ experience in administrative support experience of an increasingly responsible nature with general business knowledge and the ability to work with critical and confidential information is required. Organization and communication skills must be highly developed.  Computer skills, including Excel, Word, and PowerPoint need to be good and broad based and strong customer service skills need to be apparent.
Language Skills
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.  Ability to write reports, business correspondence, and procedure manuals.  Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
Reasoning Ability
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
