Job Summary

Support the Transportation Manager in scheduling and coordinating operations and records to maximize internal and external customer satisfaction and profitability. Assist the consumer aftermarket operations by maintaining accurate, on-time reports and records relative to the service and parts department’s operation. Assist customers both on the phone and in-person as necessary.

Essential Duties and Responsibilities

  • Coordinate and work with drivers and managers within the department to ensure timely pick-up and delivery of all equipment
  • Open work orders as directed by the manager(s) and maintain open work orders using equipment, hours, technicians, repair work and any other information needed
  • Review all work orders for accuracy and completeness before submitting to manager for final review
  • Maintain all filing and records for the transportation department
  • Reports any internal or external customer complaints to appropriate management
  • Maintain confidentiality with internal and external information
  • Maintain and administer all records and coordination for the company’s fleet of vehicles
  • Complete daily maintenance of time cards, warranty claims, and credits
  • Opens work orders as directed by the service manager and maintain open work orders
  • Submit timely and accurate warranty claims
  • Support incoming service-related inquiries and scheduling requests to the service manager
  • Prepare customer invoices and takes payments as necessary
  • Assist at the consumer parts counter as needed
  • Other aftermarket and administration duties as requested

    Position Qualifications

  • Associates degree required. Bachelor degree preferred.
  • 1+ year of experience with service administration preferred
  • Ability to use standard desktop applications such as Microsoft Office, Excel, and Internet functions
  • General understanding of mechanical & technical terms.
  • Knowledge of general bookkeeping concepts and office procedures
  • Ability to speak effectively one on one and in a group
  • A positive attitude with desire to be a team player and provide leadership within the department
