Job Function, Major Responsibilities, and Duties

Job Function: The Store Administrative Assistant is responsible for the handling the day-to-day administrative functions in the store.  This position provides excellent customer service both to PrairieLand customers and PrairieLand employees.

Major Responsibilities & Duties:

  • Answer phone and direct customer calls to the appropriate department/person.
  • Greet customers and assist them as necessary.
  • Daily deposit /balance cash
  • Assist in organizing/planning employee meals/meetings for the store
  • Track and report employee PTO usage
  • Process customer payments
  • Prepare payables to be sent to Corporate Office for payment
  • Allocate unapplied credits to accounts receivable
  • Responsible for HR on a local level
  • Verify hours for pay roll
  • Write checks for the local store as necessary
  • Provide administrative support to the store manager
  • Scan sales to corporate
  • Assist corporate in maintaining employee and vehicle information for DOT purposes.
  • Obtain license tags and registrations for company vehicles
  • File invoices and documents and maintain files
  • Create new customer accounts and assist in maintaining/updating current customer accounts
  • Assist in customer coding
  • Conduct business according to company values
  • Any other duties as assigned

Secondary Responsibilities:

  • Order supplies for the store
  • File paperwork as necessary
  • Pick up, sort and distribute mail
  • Assist departments as necessary

Supervisory Responsibilities:  This position has no supervisory responsibilities.

Qualifications, Physical Demands, and Work Environment

General Qualifications:

The Administrative Assistant is responsible for the basic administrative functions of the store.  Assistance in accounting and human resource duties are primary, along with a responsibility for customer satisfaction.

Required Certificates, Licenses, Registrations:

A current driver’s license is required and must be maintained for this position.

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. 

While performing the duties of the job, the employee is regularly required to use hands to finger, handle, or feel: reach with hands and arms and talk or hear.  The employee is frequently required to sit.  The employee is occasionally required to stand; walk; climb or balance; stoop, kneel, crouch, or crawl and taste or smell.  The employee must regularly lift and/or move up to 25 pounds and occasionally life and/or move up to 50 pounds.  Specific vision ability required by this job includes close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust and focus.

Work Environment:

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. 

While performing the duties of this job, the employee is frequently exposed to risk of electrical shock.  The employee is occasionally exposed to moving mechanical parts; fumes or airborne particles and vibration.  The noise level in the work environment is usually moderate.
